How we handle your information
Last updated 31 October 2026
Behind the Sets is software that production companies use to run their crew and cast books, budgets, quotations, invoices, call sheets and meal orders. This page explains what we collect, why, who helps us run the service, and what you can ask of us. We've written it in plain language on purpose.
Who we are
Behind the Sets is run from Amman, Jordan. You can reach us about anything on this page at [email protected].
Two kinds of information
Your account. When you sign in with Google, we receive your name, email address and profile picture from Google. We use them to sign you in, show who did what inside your company, and email you about your account. We don't ask Google for anything else, and we never see your Google password.
Your company's content. Everything a company puts into Behind the Sets belongs to that company: crew and cast details, rates, budgets, quotations, invoices, locations, call sheets, meal orders and files. The company decides what goes in and who on its team can see it. We store and process it only to run the service for that company.
People listed by a company
If you're a crew member, cast member, client or supplier, a production company may have added your details to its books, sent you a call sheet, or asked you to fill in a meal form. That company is responsible for your information and is the first place to ask about it. You can also write to us and we'll pass your request on and help them deal with it.
- Phone numbers, emails, rates, bank details and private notes are encrypted in our database.
- Call sheets show each person their own page. Phone numbers stay hidden unless the production chooses to show them.
- Meal forms ask only what the caterer needs. Dietary and health notes and emergency contacts are visible only to the production team and are deleted when the project is closed.
- Meal prices are never shown to the people ordering; they go to the production budget only.
- Casting shortlists shown to a client use cast numbers, never names or phone numbers.
What we don't do
- We don't sell or rent anyone's information.
- We don't show ads, and we don't use advertising or tracking cookies.
- We don't let one company see another company's content.
- Our admin screens show counts (how many people, projects, files), never a company's content. We look at content only when a company asks us to help with something specific.
Who helps us run the service
We use a small number of providers, only for what each is needed for:
- Supabase: database, file storage and sign-in.
- Cloudflare: hosting the website and keeping it fast and protected.
- Google: sign-in. If a company links cast photos from Google Drive, those photos stay in that company's Drive.
- Resend: sending emails, such as invitations, call sheets and account notices.
These providers may store or process information outside Jordan. They handle it under their own security and privacy commitments and only on our instructions.
Your browser
We keep your sign-in session and a few settings, such as your language, in your browser's storage so the app works. That's all. There are no analytics or advertising trackers on this site.
How long we keep things
- A company's content stays for as long as the company uses Behind the Sets.
- The owner can download all of the company's data, files and documents at any time.
- When an owner closes a company, it waits 30 days in case they change their mind, then its content and files are deleted.
- If a company moves to a smaller plan, anything above the new plan's limits is kept for 7 days, then deleted.
- Meal form health notes and emergency contacts are deleted when the project is closed. The meal costs stay on the budget.
What you can ask of us
You can ask to see the information we hold about you, correct it, download it or have it deleted. Company owners can do most of this themselves inside the app. For anything else, write to [email protected] and we'll reply within 30 days. If your information was added by a production company, we may need to involve them.
Children
Behind the Sets is for production professionals. When a company lists a child for casting, it must also record a parent or guardian, and the company is responsible for having their permission.
Changes
If we change this page in a way that matters, we'll update the date above and tell company owners by email or inside the app.
